How receipts get categorized

What the AI pulls off a receipt, which categories it can suggest, and how the confidence threshold works.

What comes off the receipt

  • The vendor name.
  • The total amount and the tax.
  • The date of purchase.
  • A suggested cost category.

Receipts in English and Spanish are both supported. Duplicates are flagged before they are submitted, so the same lumber run does not get counted twice.

The categories it can pick

A suggestion is only applied when it matches one of the categories SiteLedger uses. Anything it cannot place is left for you to set.

  • Materials, Lumber, Supplies.
  • Tools and Equipment rental.
  • Permits and fees, Subcontractor.
  • Fuel, Meals, Other.

Confidence and the review threshold

The AI scores how sure it is about what it read. You decide how sure it has to be before SiteLedger acts on it without you.

  1. Click Settings, then AI Thresholds.
  2. Set the minimum confidence needed to auto-apply a reading.
  3. Turn on flagging for low-confidence items so they are marked for manual review before they post to a job.
  4. Turn on confidence scores on receipts if you want to see the number next to each extracted field.
  5. Click Save changes.

Below the threshold, SiteLedger will not auto-fill a receipt or a cost. It routes the item to review instead. Raise the threshold if you want more eyes on the data, lower it if you are re-typing values it already got right.

What the category is used for

The category is how your spend gets broken down later. Expenses roll up by category on a job and across the business, so materials, rentals, and fuel can be read separately rather than as one lump of costs.

Set the category when you save the receipt. A few seconds at that point is what makes the end-of-month expense summary worth reading.
