Storing documents and photos

Keep plans, permits, contracts, and safety paperwork on the job where the crew can reach them.

What the documents area is for

Documents holds the paperwork a job runs on: plans, permits, contracts, daily logs, safety documents, invoices, and photos. Anything you upload against a job is available to the crew assigned to it, so the current drawing set is on the phone in the truck instead of in a folder at the office.

Uploading a file

  1. Click Documents, then click Upload.
  2. Choose a file or drag it onto the upload box. PDF, JPG, PNG, and DWG are supported.
  3. Check the document name. It fills in from the file name and you can change it.
  4. Pick the type, such as plans, permits, contracts, daily logs, or safety.
  5. Pick the job, or leave it as all jobs for something company-wide.
  6. Add a description if the crew needs to know what changed, then click Upload.

Use the description on drawings. A revision with a one-line note about what moved saves a phone call from site.

Finding a document again

The documents list shows the name, the type, the job it belongs to, the date it was added, and the file size. The filter row across the top narrows the list to one type at a time. Click a row to open the document.

  • Filter by type when you know what you are after, such as permits.
  • Files left on all jobs stay visible regardless of which job a worker is on.
  • A worker only sees documents for the jobs they are assigned to.

Receipt photos are stored differently

A photo taken while scanning a receipt stays attached to that receipt, not in the documents area. Open the receipt and the image sits next to the recorded details, with a link to view it full size. That is what lets a number in a report be traced back to the paper behind it.

Use documents for job paperwork, and let receipt scanning handle expense images. Keeping the two apart is what stops the documents list turning into a pile of till rolls.
