Your data and privacy
How your records are stored, how to export them, how long they are kept, and what happens if you cancel.
How your records are stored
- AES-256 encryption at rest
- HTTPS in transit
- Automated daily backups
We never sell your data. It is your job history — your budgets, your crew, your clients — and you can take a full copy of it whenever you want, in a format that opens in a spreadsheet.
Access is enforced on the server as well as in the interface. A worker without margin access cannot pull margins from the API or the mobile app, even if they know the address of the screen.
Exporting everything
- Click Settings, then Export Data.
- Choose Jobs, Receipts, Timesheets, or Everything.
- Click Export CSV.
- Files download straight to the device you are on
- No data is sent to a third party during an export
- The CSVs open in Excel, Numbers, and QuickBooks import
Jobs come out with budget, status, and dates. Receipts come out with vendor, amount, and job. Timesheets come out with every shift, its hours, the worker, and the job. Everything gives you all three in one download — the file your accountant usually asks for at year end.
How long records are kept
By default nothing is deleted. Under Settings, then Data Retention, you can switch to automatic deletion after five years, two years, or one year. It covers receipts, timesheets, jobs, and documents including photos and daily logs.
Many jurisdictions require contractors to keep job records for years after a job closes, for liens, warranty claims, and tax. Export your data before you shorten retention.
Location on the job site
When a worker clocks in, SiteLedger records the location with the entry so the hours are tied to a verified site. Location is used only while the app is in use, never in the background.
That is worth saying out loud to your crew when you roll the app out. The app is not following anybody home. It checks where a punch happened, and that is all.
Cancelling or deleting
There are no contracts and no cancellation fees. If you cancel, your data stays accessible for 30 days so you can export it.
Deleting your account is a different thing. Settings, then Account Settings has a Delete account button that permanently removes your company, jobs, receipts, and timesheets.
Deletion cannot be undone. Export first. Only owners see the delete option — worker accounts do not have it.
