Roles and permissions

What owners can see, what workers can see, and how to change it for one person.

The two roles

SiteLedger has two roles. Owners run the business side of the account. Workers get a smaller app built around the work day. People you invite from the Crew screen join as workers.

  • Owner — jobs, crew, payroll, clients, reports, and every company setting.
  • Worker — the jobs they are assigned to, their own hours, and their own receipts.

What a worker sees

Workers only see their own hours and receipts plus the jobs they are assigned to. Nothing about the rest of the crew shows up in their app.

  • Their assigned jobs, with the site address
  • Their own timesheets and the hours they have logged this week
  • Receipts they submitted
  • Plans, permits, and daily logs for the jobs they are on
  • Their own pay records

Workers never see each other's rates or hours. There is no screen in the worker app that lists the rest of the crew.

That is the point of the split. You can hand a phone to a new hire on their first morning without worrying about what they can read. They get the job, the clock, and the camera, and nothing else.

What stays owner-only

  • Job budgets and margins
  • Payroll
  • Invoices and accounts receivable
  • Other workers' pay and hours
  • Clients, reports, and company settings

These limits are enforced on the server, not just hidden in the interface. A worker without margin access cannot pull it from the API or the mobile app either. If someone opens a link they do not have access to, they land on an access-denied page instead.

Changing what one worker can do

  1. Click Settings, then Roles & Permissions.
  2. Pick the person from the team member list.
  3. Turn permissions on or off under Jobs, Time, and Money.
  4. Click Save changes.

Permissions are set per person, not per job title. A foreman who runs two crews can approve timesheets and receipts while the rest of the crew cannot. Changes take effect the next time that person loads a screen.

Four toggles are marked owner-only: seeing job budgets and margins, viewing other workers' hours, viewing payroll, and viewing invoices and A/R. Granting one exposes company financials to that person, so turn it on deliberately.

What a new worker starts with

  • View assigned jobs
  • Clock in and out
  • Edit their own timesheets
  • Submit receipts

Everything else is off until you turn it on. If a worker tells you a screen is missing, that is usually the answer — the permission has not been granted yet.
