Inviting your crew

Send an invite, set a role and an hourly rate, assign the person to a job, and take them off the roster when they leave.

What a worker can see

Before you invite anyone, it helps to know how little they can see. Worker access is deliberately narrow, and it is enforced on the server rather than just hidden in the interface.

  • Their own hours, timesheets, and receipts
  • Only the jobs you have assigned them to
  • Their own pay, never anyone else's rate or hours

Margins, budgets, payroll, and invoices are owner-only. A worker cannot reach them even by typing the address in.

Send an invite

  1. Click Workers in the sidebar. The page is titled Crew.
  2. Click Invite crew member.
  3. Enter their full name, mobile number, and email address.
  4. Click Send invite. They get an invite to install the app and start clocking in.

The email address is what they sign in with, so read it back before you send.

Role and hourly rate

Role and hourly rate sit in the same form. The role is a label — Worker, Foreman, Carpenter, Electrician, Plumber, Laborer, Apprentice, or Project manager — and it does not widen what they can see. Everybody you invite gets the same worker access.

The hourly rate is what turns their hours into labor cost on a job. Without a rate, their hours still record but they add nothing to the job cost, so your margin will look better than it is. Workers never see each other's rates.

Put them on a job

An invite on its own is not enough. Until somebody is assigned to a job, that job does not appear in their app and they cannot clock in to it.

  1. Open the job from the Jobs list.
  2. Use the assign workers action in the buttons at the top of the job.
  3. Tick everybody who is working on it, then save.

Taking someone off the roster

  1. Click Workers in the sidebar.
  2. Find their row and click the remove control at the end of it.
  3. Confirm when asked.

Removing somebody takes them off the crew list, so they stop appearing when you assign workers to jobs. The Crew page also has filters for Active and On the clock if you just want to see who is working right now.
