Scanning receipts on site
Photograph a receipt at the counter, check what the scan read, and file it against the right job.
Snap it before you leave the counter
- Open the app and start a new receipt.
- Tap the scan button and point the camera at the receipt.
- Wait while it uploads and reads.
On the web the same thing is under Receipts, then a new receipt, where you click Scan a receipt and choose a photo. Thermal paper fades in a truck cab, so capture it while you are still standing there.
Check what it filled in
The scan pulls out the vendor, amount, tax, and date, and gives each read a confidence score. Every field it fills stays editable. It is a head start, not the final word.
Give the total a two-second look before you save. Faded print and long supply-house receipts are the two that most often come back a dollar off, and a wrong amount lands straight in the job cost.
If the confidence is below the threshold set for your company, the receipt is routed to review instead of posting to the job automatically.
Put it on a job
- Pick the job the expense belongs to.
- Pick a category, such as Materials, Lumber, Tools, or Fuel.
- Add a short note about what it was for.
- Save the receipt.
Leave the job blank and the receipt shows up under Needs job until someone assigns it. It is faster to pick the job now than to work it out from a vendor name next month.
If the scan cannot read it
Crumpled, faded, or folded receipts sometimes come back empty. The photo is still attached to the record, so you can type in the vendor, amount, and date yourself and save it as normal.
- Flatten the receipt on the counter or the tailgate
- Get the whole receipt in frame, top to bottom
- Avoid your own shadow over the total
What you can see afterwards
Workers see the receipts they submitted, with the vendor, job, category, date, and amount. The job budget and margin that receipt affects are owner-only.
The receipts screen shows your count and total for the week, and flags any that still need a job. Clear those before Friday and the office does not have to chase you for them.
