Quick start: your first job in 5 minutes
Create an account, add one job, invite one crew member, and watch hours and receipts land against that job.
What you need
This takes about five minutes on a laptop or in a phone browser. Have one job you are actually running in front of you, and the email address of one person on your crew. Nothing here is permanent — every field can be changed later.
- Your company name and address
- A job name, the site address, and the contract value
- The name, email, and hourly rate of one crew member
Create your account
- Open the sign-up page and enter your name, mobile number, work email, and a password of at least 8 characters. You can sign up with Apple or Google instead.
- Click Continue, then enter your company name and address. Add a logo if you have one.
- Tick the box to agree to the Terms of Service, then click Start free trial.
The trial runs 1 week with every feature turned on, and no credit card is required.
Add your first job
Straight after sign-up, SiteLedger asks for your first job. This is what every hour and every receipt gets attached to, so it is worth doing now rather than later.
- Enter a job name your crew would recognise in a text message.
- Enter the job site address. This sets the geofence your crew clocks in against.
- Add the customer and the contract value, then finish setup.
You can skip this step and add jobs later from Jobs, then New job.
Invite one crew member
- Click Workers in the sidebar.
- Click Invite crew member.
- Enter their full name, mobile, and email, pick a role, and set their hourly rate.
- Click Send invite. They get an invite to install the app.
The hourly rate is what turns their hours into labor cost on a job. Workers never see each other's rates, and they never see margins, budgets, or payroll.
Check it worked
- Open the job and assign your new crew member to it, or they will not see it at all.
- Ask them to clock in from the iOS app or the web time clock.
- Open the job again. Their hours show on the Time tab and inside Spent to date.
- Add a receipt from Receipts and pick the job — it appears on the job Receipts tab.
Once those four things work, the rest of SiteLedger is the same pattern repeated. Every number on the dashboard traces back to a timesheet or a receipt somebody captured on a job.
